We are seeking a highly organized and motivated Administrative Assistant to join our team.
Job Purpose: The Administrative Assistant will provide support to our team by performing a variety of administrative tasks and ensuring the smooth running of our office. This role requires an individual who can multitask, prioritize their workload, and communicate effectively with colleagues and clients.
- Answer and direct phone calls to the appropriate person or department.
- Respond to emails and written correspondence in a professional and timely manner.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Maintain and update the company’s databases and filing systems.
- Prepare and distribute correspondence, reports, and presentations as required.
- Handle incoming and outgoing mail, including sorting and distributing to the appropriate person or department.
- Provide support to other team members as needed.
- Perform general office duties such as photocopying, scanning, and faxing.
- Ensure that the office is well-stocked with supplies and equipment.
- Maintain a clean and organized workspace.
- Proven experience as an administrative assistant or in a similar role.
- Excellent organizational and time management skills, with the ability to prioritize tasks and work to tight deadlines.
- Strong written and verbal communication skills, with the ability to communicate effectively with colleagues and clients.
- Proficiency in Microsoft Office and Google Workspace.
- Attention to detail and accuracy in all work.
- Ability to maintain confidentiality and handle sensitive information.
- A positive attitude and a willingness to learn and take on new responsibilities.
